Notes from 1st Board Meeting

Below are the notes from the 11/11/08 GAYA Board Meeting.

Attendees: Timothy Burgin, John Mole, Jackie Dobrinska, Melanie Leenhouts.

Pass bylaws
Priorities and budget

Officers were elected as follows:
Timothy Burgin – President
Jackie Dobrinska – Vice President
John Mole – Treasurer
Melanie Leenhouts – Secretary

Bylaws were reviewed and approved after one minor change – voting requirements on fallback altered to 75% is majority rules.

Priorities were reviewed:
Website was discussed as a central location for classes/studio events. It was discussed that a form would be sent to studios by GAYA as a reminder to send in event information. Monthly updates would be needed (either Timothy or seva help as trained) for events and class schedules. Timothy mentioned he may have a way to setup an automatic monthly email reminder.

Student memberships also discussed – these would be paying members, but not be included in the teacher and yoga studio directory.

Budget
A 2-year budget is needed to continue application for non-profit status. A budget meeting was scheduled for December 3rd, 12:30 pm at Timothy’s house. The board will be compiling ideas for budgetary needs for the meeting as follows:
Website costs: Timothy
General operating costs: John
Conference: Jackie and Melanie
Advertising: Melanie

John Mole will take the information from the budget meeting to create the budget for submission.

Yoga Conference:
A conference was discussed as part of a 2010 timeline or even 2009 in conjunction with another group already having yoga conferences in cities around the nation. Jackie will continue conversations with this group, and Melanie will research venue possibilities. A few questions to clarify the vision are:
Who is our audience? How many people will attend? What venue – outside, park space? Jubilee? or inside a hotel, etc? In connection with Mission Hospital? Proceeds to benefit GAYA. Board members may want to include in the budget a trip to a yoga conference to obtain knowledge of running such a conference.

A second GAYA meeting was scheduled for December 8th. This will be a potluck gathering at Timothy’s house just to keep everyone updated on GAYA’s progress and movement. Games to be led by Melanie.
